New feature! Automations

Now, you can automatically notify instructors & other staff when someone books, mark leads “Enrolled”, easily remove prospects from follow ups in 1 click, and more!

The first phase of in-app Automations are now available for new & existing users of Studio Suite. These new features make Drip optional for most users (it really depends on how much/if you’ve customized Drip). And the best part? You get all of these new features as an existing or new user, for free!

On Thursday, October 24th, we hosted a live training to formally introduce Automations & walk through how these new features work. I’ve posted the replay & downloadable notes from the training below.

During the training, you’ll learn:

  1. You’ll learn how to remove prospects from follow up emails in 1 click (this means you don’t have to find the prospect in Drip & remove them manually anymore)
  2. You’ll discover the easy way to determine who’s enrolled & who’s not (prior to Automations, you could only track who booked, showed, or canceled)
  3. You’ll learn how to make sure a prospect you reschedule for doesn’t receive the cancellation email (all you have to do is tweak the delay before the first email)
  4. You’ll discover how Automations help you notify instructors so they know to expect a new/potential student (we’ve also added the ability to notify someone else, like your admin, as well)
  5. You’ll discover whether or not you still need Drip (note: your Drip integration still works – we’re not changing anything, only adding to)

Think of automation, not as something that replaces personalization, but as more of a layer—in addition to personalization. You need automation working for you, in case you don’t get around to personalizing, say your follow up process, every time.

Key Takeaways: Marketing automation for studios

  • To prevent the follow up campaign (or stop it), mark the prospect “Enrolled” on the bookings tab. You only have to mark a prospect once.
  • You must customize your follow up emails before activating that campaign (because they’re currently templates).
  • If a prospect doesn’t show or cancels ahead of time, cancel their booking to trigger the cancellation campaign/email.
  • If you prefer to have the option to reschedule a booking internally (on behalf of the prospect), consider adjusting the delay on the cancellation email.
  • Prospects will not & cannot restart the follow up campaign if they’re already in it. After they complete this campaign, they’d be eligible to start it again.
  • If a prospect has 2 bookings & cancels their first one, Studio Suite will automatically reschedule the follow up campaign so that it triggers after the second booking (instead of the original one).
  • To prevent follow ups from triggering altogether, mark the prospect “Enrolled” on the bookings tab.

Don’t forget! You must customize your follow up emails before activating that campaign (because they’re currently templates).
